~ AUTOPiOBILE ALLOWANCES AND
MILEAGE REIPIBURSEMENTS
I[ ts City of Cupertino poltcy that eligible persons under [he Manage-
ment Compensa[ion Program shall be compensated fairly for the use of personal
automotive vehicles on City businese. In many instanr.ea the use of peraonal
vehlcles is a condition of employment due to the absence of sufficient City
owned veiiicles for general tranapor[ation purposes. It is not intended,
hwoever, that such a condi[ion of employment should work an undue hardship.
For this reason the following policies ahall apply for automobile allowancea
and mileage reimbursements.
Those persons who occasionaily are cequlred to use [heir personal
automobiles for City business ahall be reimhursed for such use at an appro-
; pria[e rate es[ablished by the city Council. Submission of a reimbursemen[
request must be approved by the department head.
'I Those persons who are required to use [heir personal vehicles for Ci[y
business on a recurring and often basis shall, with the approval of the City
Manager, be reimbursed at the rate of fif[y dollara ($50.00) per mon[h for a
given number of miles [o bc de[ermined by a schedule adopted by the City
Council and a[ the established rate per miles; provided, however, that a
record of ali mileage for [he use of personal au[omobiles on City business
shall be filed as a prerequisite [o any such reimbursement on forms provided.
The exception to [he f~regoing paragraph shall be for department hPads,
who shall be reimbursed a[ therate of one hundred fifty dollars ($15~.00) per
month wi[hout having to submit a record of mileage as a prerequisite to any such ,
reimbursement. Furthermore, [he Asaistant to the City Planager, ai~d the Aasis[ant
Ci[y Engineer ahall receive one hundred dollars ~5100.00) per month, the Traffic
Engineer shnll receive (75.00) per month and the Public Works Superintendent
shall receive ($50.00) per mon[h without having to submit a record of mileage
as a prerequisitc to reimbursement unlesa the mlleage claimed would exceed the
attached schedule as vehicle mileage reimbursement. A further excep[ion ia the
~ City Planger who shall receive tWO hundred twenty-fivc dollars ($225.00) per
~ mon[h, based on Consumer Price Index Priva[e Transportation Schedule as of ,
, July, 1980. Reimbursemen[ to be adJuated in conjunction with Consumer Price
~ Index Private Transporta[ion Schedule. '
While recognition is given that similar or modified au[omobile allowance
and mileage reimbursement schedules may be applicable to employeea not eli-
gible under the Dlanagement Compensatlon Program, i[s tnclueton ae a policy
under said Program is for comple[eness of record.
