Bear Mr. Quinlan:
This letter will document our meeting with Fat Phillips and members
of the City staff on November 14. 1976 to discuss tote above referenced
project.
7kwough the activities of both principals of tPr-s Firm with Senior
Citizens activities in the Town of los Gatos (i.e. Senior Nutrition
Program and Uxe Senior Coordinating Council of Los Gatos) and our profes-
sional involvement in retirement housing we recognize the feed. for this
facility and its importance :La the city. We are also aware of the
general lack of funding for Senior Citizens projects. It is due to our
understanding of the circumstances surrounding projects of this nature
that are will give our best effort to this project for the sum of money
available for architectural services.
The architectural services required. as are understand it, is to
provide drams for the remodel of the present building and to provide
separate dramas for the addition to the *wilding; this due to the
separate grants involved. The sums available, accordirg to my notes.
are $13,000-W for the remodel ant $15,000.00 for the addition. It is
also my understanding that $1,500.00 is the sum available for compensation
of architectural services.
It is anticipated that areas shown and the equipment .toted on our
drawings grill be in excess of prudent construction costs per square foot
in ianticipation of donations of money and equipment from the cormanity.
We would expect Ms. Philips, with help from the City staff, to eutablish
a decending list of priorities to balance the budget.
Cue to the funds available for architectural services being con-
siderably less than the compensation are would require for this work are
find it necessary to make the following requests:
1. 7his Firm be held harmless, by the City of Cupertino,
for any and all claims arising out of the construction
project.
2. This Firm not be held liable for errors and omissions.
3.. Reproductions of bid documents be produced by the
City of Cupertino.

Our normal hilling practice is to tender monthly progress billings.
If this billing pmeadure must be altered °9 request to be inrormed and
an agreeable plan be negotiated.
We thank you +anadthe City staff for your intarest and cooperation
in this project. We6lust that this project can come to a satisfactory �
conclusion in the same spirit and sense of accomplishment as it is
undertaken.
