LIB 09-07-22MINUTES LIBRARY COMMISSION Wednesday, September 7, 2022 LIBRARY COMMISSION MEETING CALL TO ORDER At 7:00 p.m., Chair Pan called the meeting to order via remote teleconference. ROLL CALL Commissioners present: Qin Pan, Liyan Zhao, Rahul Vasanth, Sheela Sreekanth, Archana Panda Commissioners absent: None City/County Staff present: Kevin Khuu, Jessica Javier, Clare Varesio, Jennifer Weeks Presenters: None CEREMONIAL MATTERS AND PRESENTATIONS None APPROVAL OF MINUTES 1. Subject: July 6, 2022 Library Commission Meeting Minutes Recommended Action: Review and approve the July 6, 2022 Library Commission meeting minutes. Commissioner Panda motioned to approve the minutes as submitted. Commissioner Vasanth seconded. Motion passed unanimously. POSTPONEMENTS None ORAL COMMUNICATIONS None WRITTEN COMMUNICATIONS Written Communications included an email from the Wildlife Awareness Initiative (WAI). OLD BUSINESS None NEW BUSINESS 2. Subject: Cupertino Poet Laureate Update Recommended Action: Receive an update on the 2023-2024 Cupertino Poet Laureate appointment. Discuss plans for honoring and celebrating the 2020-2022 Poet Laureate as well as welcoming the new Poet Laureate. Assign tasks for upcoming celebration events, as needed. Kevin Khuu, Management Analyst, provided an update on the 2023-2024 Cupertino Poet Laureate. Informed the Commission that letters have been sent to the candidates who were not selected, a letter has been sent to the candidate that was selected, and City Council did approve the Library Commission’s final recommendation at their August 16 meeting. Next step is to plan out the Celebration Event. Management Analyst Khuu provided an overview of the event. Following the timeline, the goal is for the event to take place in October and the purpose of the item tonight is to review the general details of the event and to see if Commissioners would like to volunteer their time to help organize the event. The event will typically start with a speech from the outgoing Poet Laureate, the outgoing Poet Laureate will be presented a gift, and then they will introduce the incoming Poet Laureate along with presenting the trophy. The incoming Poet Laureate will introduce themselves, provide a background, and then share poems of their choice. Following that mingling and light beverages and food. Management Analyst Khuu then reviewed some general tasks that could be assigned to Commissioners who would like to volunteer. Commissioner Panda volunteered to help with overall event management, guest list management including invites and RSVPs, and the catering for light food and beverages. Vice Chair Zhao volunteered for researching the gift for the outgoing Poet Laureate. The Poet Laureate Subcommittee, comprised of Commissioner Panda and Vice Chair Zhao, will plan for a one-hour event, and will work out the details with the Poet Laureates and staff. Staff will look at availability in October for a weekday evening at Community Hall and Quinlan Community Center. STAFF AND COMMISSION REPORTS 3. Subject: Monthly Update Reports Recommended Action: Receive Monthly Update Reports from: - Cupertino Community Librarian Reported as submitted. • Liana Crabtree, Cupertino Resident, recommended that when the satellite book drop is closed that it be used as a passenger loading/unloading zone, and that there be a cover for the book drop that notifies people that it is closed. • Clare Varesio, Community Librarian, did clarify that the decision to designate the book drop as a loading/unloading zone is a decision for the City, but that the Library would support in the future. • Chair Pan expressed adding this to the agenda at a future meeting for discussion. - County Librarian Monthly Update Reported as submitted. - Friends of the Library Hosted a very successful book sale in August. Next book sale will be Saturday, October 15 and Sunday, October 16. Donation bins at the Library have reopened Tuesday morning to Thursday afternoon. - Cupertino Library Foundation Wrapped up taking donations for the Donor wall and that has transitioned back to the City Staff. Staff will work on installing by early 2023. The Library Foundation Board approved funding support for the Superfest Disability Film Festival (Superfest Showcase). Plans are to host the event in January 2023 and more information to come. • Liana Crabtree, Cupertino Resident, thanked the Foundation for the update regarding Super Fest. - Commissioners No updates. - Poet Laureate Jing Jing Yang expressed how delighted she is that Keiko O’Leary was selected as the new Poet Laureate. Jing Jing will schedule a time to meet with Community Librarian Varesio to summarize the work that has been done and then schedule a time pass off to Ms. O’Leary. Chair Pan, Vice Chair Zhao, and Commissioner Panda thanked Jing Jing for her work as the Poet Laureate. - Management Analyst Khuu reported on the following items: o Council approved extending the resolution authorizing continued remote teleconference meetings of the legislative bodies for the period September 6, 2022 through October 6, 2022 pursuant to the Brown Act. o There are a few upcoming events for the Revitalize Memorial Park project (“Specific Plan”) that we want you to be aware of:  Launching an online survey Thursday, September 8 to get community feedback on what they would like to see at a Revitalized Memorial Park. It can be found at Engage Cupertino and will be active until October 9.  There will also be a virtual Community Meeting on Thursday, September 15 to get community input.  A pop-up in front of the Cupertino Library on Saturday, September 17.  A pop-up at The Silicon Valley Day ‘n Night Fun Fest on September 24.  Another pop-up at Diwali on October 8.  Please visit the Cupertino website calendar for more information on the events. o Special Joint Meeting with Parks and Recreation, Bicycle Pedestrian, and Sustainability Commissions planned for Thursday, September 8 at 6:30 p.m. to discuss the Golf Course Feasibility Study survey results. o The Annual Pooch Plunge on Saturday, September 10 from 9 a.m. to 12 p.m. noon at Blackberry Farm. Advanced registration is required. o Cupertino Volunteer Fair on Saturday, October 1 from 10 a.m. to 2 p.m. at Civic Center. The event is free to all members of the public. o The Senior Center’s Hidden Treasures is now accepting donations through Friday, October 14. The event will take place on Thursday, October 27 from 9 a.m. to 2 p.m. at the Cupertino Senior Center. o More information for all the events can be found at cupertino.org/recreation. o City Council has appointed Pamela Wu as the next City Manager and her first day was Monday, August 29. COMMISSIONER ATTENDANCE AT UPCOMING MEETINGS AND EVENTS Chair Pan informed the Commission that she will be unable to attend the October Library Commission meeting and that Vice Chair Zhao will Chair the meeting in her place.
