FAC 01-27-98 City of Cupertino FINE ARTS COMMISSION Regular Meeting January 27, 1998 1. CALL TO ORDER At 7:39 p.m. Mary Sievert called the meeting to order in Conference Room A and led the pledge of allegiance. 2. PLEDGE OF ALLEGIANCE 3. ROLL CALL Present: Chairperson Mary Sievert, Vice Chairperson Rita Young, Commissioners Stephen Beard, Janet Mohr, Carl Orr, Charlene Pai-Brizendine City Staff present: City Clerk Kimberly Smith, Recording Secretary Dorothy Steenfott 4. INTRODUCTION OF NEW MEMBERS 5. ELECTION OF CHAIR AND VICE CHAIR Beard moved to nominate Rita Young for chairperson. Off seconded and motion passed unanimously. Sievert moved to nominate Janet Mohr for vice chairperson. Beard seconded and motion passed unanimously. 6. APPROVAL OF MINUTES Mohr moved to approve the minutes of the regular meeting of November 25, 1997. Beard seconded and motion passed unanimously with Orr and Pai- Brizendine abstaining. 7. ORAL COMMUNICATIONS 8. WRITTEN COMMUNICATIONS City Clerk reported on an invitation from the Euphrat Museum to view the new exhibit "Connections". She also stated that an invitation to the Iranian Festival fund raising event was received. --r -~ h January 27,1998 Fine Arts Commission Page 2 9. STAFF REPORTS City Clerk advised the Commissioners that the item regarding accomplishments in the packet had been presented to the City Council for information. Accomplishments for the upcoming Commission recognition dinner would be discussed under new business. 10. NEW BUSINESS A. Free Shakespeare in the Park. Charlie McCue and Tever Nickerson, San Francisco Shakespeare Festival, Sherry Miller, DeAnza College, and Mike Galene, Hewlett Packard, joined the meeting to discuss funding for the Shakespeare Festival. Ms. Miller reviewed costs comparisons for what other cities are contributing to the festival. She stated that there are II performances in San Francisco and the cost is $101,000. San Francisco City/County contribute $63,000. There are six performances in Oakland and the cost is $55,000. The City of Oakland contributed $11,000 in 1997. There are six performances in San Ramon at a cost of $62,000. San Ramon gives $5,000. There are nine performances in Cupertino with a cost of $92,000. The City contributes $5,000. Ms. Miller stated that other funding is obtained from corporations and individuals in addition to T-shirt sales and audience donations. Ms. Miller asked that Cupertino raise its funding to $15,000. B. Consider funding requests for fiscal year 1998/99 (Shakespeare and Euphrat) Beard moved to award $6,000 to Euphrat. Sievert seconded and the motion passed unanimously. Beard moved to grant $5,000 for 1997/98 fiscal year to the Shakespeare Festival and to request additional funding from City Council in the amount of $1 0,000, with a recommendation that funding for Shakespeare be set up as a separate budgeted program, under Parks & Recreation in 1998/99. Sievert seconded and the motion passed unanimously. January 27,1998 Fine Arts Commission Page 3 C. Cherry Blossom Festival- children's art display. Invite new members to participate on ad hoc committee composed of Young and Mohr. Young stated that the theme for the children's art display will be the four seasons comer. Participating schools will each submit one three dimensional display for the festival. Young distributed a draft of the letter to John Erkman of the Cupertino Union School District and a flyer announcement about the art display. Young will make the necessary changes to the letter and flyer and distribute to City Clerk with mailing labels for distribution to all appropriate parties. Mohr moved to award $45 to each participating school upon completion of the Cherry Blossom Festival. Sievert seconded and the motion passed unanimously. D. Invitation to Commissioners' dinner. The Commission suggested the following items be highlighted at the Commission Recognition dinner: Launching three weekends for Shakespeare in the Park; the first annual children's art display at the Cherry Blossom Festival; continued support of Euphrat; and the distinguished artist of the year award. E. Selection of ad hoc committee for grants. City Clerk reported that the deadline for the next grant cycle is February 15. Packages will be handed out at the next meeting and the ad hoc committee will report to the Commission in March. Sievert, Off, and Pai- Brizendine volunteered to serve on the ad hoc committee. F. Selection of ad hoc committee for Spring Sing-Along in conjunction with Euphrat's Annual Family Day. Representatives should contact Diane Argabright at 408-864-5464 regarding the Euphrat Family Day program. The Commission discussed the possibility of doing a sing-along again this year. Pai-Brizendine agreed to contact Sheila Mohan to get background information and report to the Commission in February. January 27,1998 11. 12. 13. Fine Arts Commission Page 4 G. Establish ad hoc committee to review development of content and graphics for potential use on promotional flyers, brochures, letterhead, event banners, ad copy, etc. City Clerk stated that the this item is on the agenda again because staff was unsure of what the Commission wanted to do. Commissioners agreed that they would like to have a banner to increase visibility at various events. Sievert volunteered to prepare three ideas and present them to the Commission at the February meeting. OLD BUSINESS A. Status report from Cultural Arts Event ad hoc committee of Mohr, Sievert, Bob Hopkins (P&R). Mohr reported that the ad hoc committee met to discuss options for new events, and it was decided that an outdoor film festival would be explored. She stated that the films would be family related and could be run over three weekends for a total of six films to be shown during early September. The ftrst year would begin with a simple program, probably a comedy, to be shown at the quadrangle at City Hall. The program could be expanded to a film festival in later years.- The ad hoc committee also decided that they needed some background information on producing such an event. Mohr stated that she would be contacting The Oaks and Bob Hopkins from the Parks & Recreation Commission would be contacting DeAnza College for assistance. COMMISSIONER AND LIAISON REPORTS Sievert distributed minutes from the Four Seasons Comer ad hoc committee and requested that the item be put on the agenda for February.
