LIB 03-11-2015 City of Cupertino Library Commission Special Meeting March 11, 2015 : MEETING MINUTES 1. CALL TO ORDER At 7:03 pm Commissioner Liu called the meeting to order at Cupertino City Hall, 10300 Torre Avenue, in Conference Room C Cupertino. 2. ROLL CALL Commissioners: Jerry Liu, Annie Ho, Rose Grymes, Gopal Kumar City/County Library Staff Gayathri Kanth,Nidhi Mathur Absent: Ann Stevenson,Nancy Howe Guest: Sandy James 3. ORAL COMMUNICATIONS Sandy James, former Mayor of Cupertino and current Public Affairs Manager for Sand Hill Properties, provided a report about the Vallco Shopping Center. Presently the Vallco Shopping Center renovation concept is for a community center with mixed use, housing, retail, business, open space. It will be an open, walkable mall similar to Santana Row. In the next three months, Sand Hill Properties will be doing outreach via focus groups, mailings and the Vallcovision.com website to determine what residents like, don't like and what they would like to see at the site. They are available to do presentations to gather feedback. The suggestion of having a satellite Library dropoff site at the new Vallco Shopping Center was discussed. 4. APPROVAL OF MINUTES Commissioner Grymes moved to approve the minutes of the regular meeting of February 11, 2015. Commissioner . Kumar seconded and the motion passed unanimously. 5. AWARD PRESENTATION TO SUSTAINABILITY MANAGER, ERIN COOKE Commissioner Library Commissioner Annie Ho presented City of Cupertino Sustainability Manager, Erin Cooke, with the Cupertino Library Commission's first_ Accomplishment and Community Enlightenment (ACE) Award to recognize her for her contributions to help make Cupertino a more sustainable community. Ms. Cooke thanked the Commissioners for the award and mentioned staff contributions and thanked the Commissioners for their support. 6. WRITTEN COMMUNICATIONS A. Cupertino Community Librarian Report Ms. Gayathri Kanth, Cupertino Librarian,provided a report about a drop in circulation, an increase in program attendance and more outreach. Visitors were slightly lower than in the past. Children's Lego Club output is more creative this month compared to last. The Garden program is continuing to attract a lot of kids. In the garden they launched the very first STEAM Leads program for middle school students to learn about STEM plus arts to support Common Core. A beekeeper arrived with live bees and the kids learned about bees and pollination. Senior Productions filmed the class and it will be available on the Library web page. Next month they will discuss sustainability and in May they will feature math without a calculator. There will be a Silicon Valley Reads Film Festival at Blue Light Cinemas. B. County Librarian Report A report was submitted. C. Friends of the Library Report No information provided. D. Cupertino Library Foundation Report Eno Schmidt submitted the Cupertino Library Foundation report to Commissioners. E. Others received None F. Calendar Review April Mayor's Meeting(Gopal Kumar) May Mayor's Meeting (Jerry Liu) June Mayor's Meeting (Rose Grymes) 7. REPORTS A. Commissioner Report Commissioner Grymes reported that she and Commissioner Ho will look for an awardee for the 2016 ACE Award. Commissioner Kumar reported that he is trying to find a speaker for Sustainability Series. Commissioner Liu reported about Foundation projects. One project is building the kiosk which surveys Library patrons on how they use the Library. He went to a meeting at Assembly member Rich Gordon's office. B. Cupertinolibrary.org Typically the' website receives 8,000 visitors; this month was 7,000. The demographic and behavioral information was basically the same as last year. Commissioners agreed to move discussion of this item to every other month. C. Staff Report City of Cupertino Library Commission Liaison Nidhi Mathur reported that March 17th City Council will be hearing the General Plan Amendment. The Teen Commission vacancy notice so nominations are open. City events coming up are the Big Bunny Fun Run on April 4th and April 11th is Earth Day. Holi Festival of colors is in Memorial Park is on April 11th. Also, the Cherry Blossom Festival is April 25th and 26th D. Mayors meeting Commissioner Ho attended the Mayor's Meeting and reported to the Mayor that the Library Commission went to the February Forum, invited Katy Jensen to update the Commission about the program room design,will present the ACE Award to Erin Cooke and plan to invite Sandy James to update Commissioners about Vallco. 8. NEW BUSINESS A. Nominate new chair and vice chair Commissioner Rose Grymes nominated Commissioners Ho as chair and Commissioner Liu seconded. Commissioner Grymes nominated Commissioner Gopal Kumar as Vice Chair and Commissioner Liu seconded the motion. Commissioner Liu nominated Commissioner Grymes for Secretary. Commissioner Liu moved that Annie Ho be elected Library Commission Chair, Gopal Kumar be elected Vice-Chair and Rose Grymes be elected as Secretary. The motion passed unanimously. B. 2015 Work Plan brainstorm The Commissioners discussed continuing the Sustainability Speaker Series in the 2015 Work Plan. Also mentioned were Community Outreach Advocacy, Technology Digital Resources, Poet Laureate, Partnership Collaborations, Sustainability, Education, Facilities, Accessibility and Library. The Work Plan initiatives.are in the Dropbox. Commissioner Ho recommended having a 2- person subcommittee for the Work Plan. Commissioner Kumar mentioned having the library offer various classes to attract more patron visits, including topics that parents and children would attend together,health related concerns and events like TEDEx. He also mentioned that he would like the Library to be an awareness hub that will include information about City Commissions. Commissioner Liu will put together a Library Commission accomplishments form. Commissioner Grymes suggested having Cupertino students provide a presentation to the public discussing that cell phone towers are not dangerous. Commissioner Ho suggested adding Vallco as a discussion point. Commissioner Grymes added talking about the Civic Center Master Plan. Commissioner Liu brought up the Tech Toolbar. C. New Library Commission picture 1 9. OLD BUSINESS A. 2014 Work plan report Commissioner staff liaison Nidhi Mathur will follow-up to verify if the 2014 Work Plan report is needed. 10.
