April 2, 2014
MEETING MINUTES
1. CALL TO ORDER
At 7:06 pm Commissioner Liu called the meeting to order at Cupertino City Hall,
10300 Torre Avenue, in Conference Room C Cupertino.

3. APPROVAL OF MINUTES
Commissioner Ho moved to approve the minutes of the regular meeting of March 5,
.2014. Commissioner Stevenson seconded and the motion passed unanimously.
4. PRESENTATION ,
Cupertino Community Librarian Ms. Kanth gave a presentation on remote access to
the library materials showcasing options of vending machines available in the market .
today. She reported there are three reasons why library materials vending machines
are helpful as-they provide 24x7 access to collections with minimal staffing costs, can
be placed in high traffic locations (mall, teen center, school, shopping centers) and are
mobile providing the flexibility to move to different locations. She talked about
standard vending machine and mini branch type of vending machine and discussed
their checkout features, ability to disbursed library material hold, and other pros and
cons including cost. She also discussed which specific machines are being used by
Sunnyvale and other libraries in California Library system. Ms. Kanth shared three-
year Technology Plan has funds but it has not been decided if the Library will utilize
those funds towards purchasing these vending machines. The County Library would
like to serve the unincorporated areas like San Martin and Monte Sereno and
collaboration needs to take place to determine a good place to install the first remote
machine.
5. WRITTEN COMMUNICATIONS
A. Cupertino Community Librarian Report
Cupertino Community Librarian, Ms. Gayathri Kanth reported a 5% decrease
in library usage between last year and this year,probably due to the Calabazas
Library which opened in opened in June of 2013. Virtual services numbers
went up and programming numbers has been steady. She shared that two
librarians are providing a community garden for kids. Librarians went to
Discovery Day at Regnart Elementary and the bookmobile visited the school.
There was a"Diary of A Wimpy Kid"project, the Silicon Valley Reads event,
Homestead and Monta Vista robot event and a poetry contest sponsored by the
Foundation. Time and Confusion Temple program had 82 patrons attending
and the Code First intro to programming meeting had 91 middle and high
school students in attendance. Some upcoming programs are a free Comic
Book Day, Mother's Day picture frame, Monta Vista Teen Technology
Program and Teen Study Days. Other programs are: Mark Larson's discussion
about movies,master gardeners,book discussion groups, financial planning
workshop, ESL conversation club and knitting.
B. County Librarian Report
Deputy County Librarian Carol Frost reported on a new service called
"Always Available Classics"where patrons will be able to check eBooks
directly from the Library catalog. Patrons can search the catalog, find a title,
and with a click, download the item without inputting a library card number.
The Internet Archive in San Francisco has a project called the"Open Library"
where they scan the donated books as eBooks and make them available for
free. They have open APIs by which other libraries can connect to them. She
reported that we hope other library systems will continue development of this
prototype.
The County Library has partnered with Jukepop which produces episodic
fiction, similar to historic books. There is a link on the website to see different
authors' episodic work. People can also provide authors their comments. The
th
upcoming JPA meeting is scheduled on April 17 , where there will be the first
reading of the proposed budget. The increase of the budget is due to cost of
living increases. The budget will be submitted for final approval in June.
C. Friends of the Library Report
The Friends of the Library Report was emailed to all.
D. Cupertino Library Foundation Report
The Cupertino Library Foundation Report was submitted by Eno Schmidt.
There was a Tenth Anniversary Committee meeting is inviting the
commissioners to attend its planning meeting. There are opportunities to help
-the Marketing Committee or brainstorming the activities for the anniversary.
There will be booths with activities connected to learning.

6. REPORTS
A. Cupertino Poet Laureate
The upcoming Poet Laureate reading is scheduled on June 12, 2014.
B. Commission Report
Annie reported on the Civic Center parking issue. The interim parking plan is
issue parking sticker for city employees and move all staff parking onto the
street and move fleet vehicles away. Inside parking lot would be for the public
but will have limit parking to four hours. The Library recommended a survey
of library patrons to determine if four hour parking is desirable. They want to
know the parking habits of the library patrons. The city with the help of
library staff will make this survey available for the library patrons by April
15th. Commission members should also take this survey. The survey will be
on the city web page and will also be heavily promoted by the library.
C. Staff Report
Commissioner Liu attended the Mayor's Commission:meeting on March 12th.
There were four other Commissions in attendance - Parks and Recreation,
Public Safety, Bicycle, and TICC. He reported on the items discussed by these
commissions. He also reported on the April 18 City Council presentation
which included library circulation number and number of programs.
7. OLD BUSINESS
A. Cupertinolibrary.org website
Commissioner Liu will put the new website on the staging server for
commissioners to review.
B. Discuss 2014 Commission Work Plan
Commissioner Liu proposed that the Work Plan discussion be postponed to
next.meeting when there is a full quorum.
C. Library Services and Expansion Survey
Commissioners.discussed to help with a Cupertino Library survey at the
schools. The PTA may be able to help. Library expansion.survey was
discussed. Also discussed was a survey to know people's interest in
sustainability.
8. AGENDA BUILDING
Add the patron's survey as new business and keep cupertinolibrary.org as old
business
