LIB 01-08-2014City of Cupertino Library Commission Special Meeting January 3, 2014 MEETING MINUTES 1. CALL TO ORDER At 7:01 pm Commissioner Grymes called the meeting to order at Cupertino City Hall, 10300 Torre Avenue, in Conference Room C, Cupertino. 2. ROLL CALL Commissioners: Annie Ho, Rose Grymes, Adrian Kolb, Ann Stevenson, Jerry Liu City /County Library Staff: Gayathri Kanth, Nancy Howe, Nidhi Mathur Absent: None 3. APPROVAL OF MINUTES November minute are approved - the motion by Commissioner Kolb and seconded by Commissioner Stevenson December minutes are approved — the motion by Commissioner Kolb and seconded by Commissioner Stevenson. 4. PRESENTATION Cupertino Librarian Megan Wong gave a presentation on Tech Tool. She shared the original concept was "A Genius Bar on wheels" and the idea was to create a "tool bar" featuring the latest tablet computers and e- readers on the market today and use trained volunteers and staff to teach patrons about the devices, and how to use them. She shared that the library initially adopted the three tired service model for rolling out this project. Tech Toolbar being the first point of contact with devices and a -book questions, patrons could get the high level questions answered. Library Reference Desk was the second point of contact for specialized a -book questions and in- depth, 30 minute scheduled appointments with librarians were the third point of contact. She reported on developing a sustainable service model that tied to answer the following questions; what happens when Toolbar is not staffed? What happens when volunteer can't answer patron questions? How Librarians are involved with the Tech Toolbar? Based on lessons learned after launching they adapted their service to two tiers. One of the other lessons learned was to provide an ongoing training and curriculum (e -book academy) for the staff instead of a one -tune training which sometime is too much information for the staff to assimilate. Other lesson learned was to have one librarian as project lead who was responsible for scheduling and training the volunteers and providing one -on -one appointments. She reported there are around 110 patrons using this service per month and they are capturing additional data via a quick survey at the time of service. Passcode and 24/7 charge, patrons logging in with their credentials are some issues that they are still dealing with this project. Now the library has device specific instruction for downloading the a -books and magazine on their website. 5. WRITTEN COMMUNICATIONS A. Cupertino Librarian Report Cupertino Librarian reported total 67,554 visitors visited Cupertino library but the total circulation is down from last year because of e- books. There were 10 less programs offered compared to last year with the total attendance of 3129 up from 3,096. Few of the spotlight programs were Action Origami with Jeremy Shafter which was attended by 37 kids and Starry Night Stories and Craft which was attended by 80 children. Decorating Cakes with Chef Berna was a popular program for teens and there is a plan. is to have a similar program for pizza baking. Library was pleased to welcome Opera San Jose to the Cupertino Community Hall in a return performance during the Fall Performing Arts and Culture Series. 104 attendees were treated to an evening of beautiful music The Firebird Youth Chinese Orchestra had the honor of concluding the Cupertino Library's Fall Arts and Culture Series this year. 110 people learned about China's rich musical heritage while listening to these talented young musicians play traditional Chinese instruments. The library offered many adult programs like Book Discussion Club, Master Gardner Series, along with Affordable Care Act for its adult patrons. B. County Librarian Report County Librarian Nancy Howe reported for the 12th consecutive year, the Santa Clara County Library District has been rated among the top public libraries in the United States. This year for the first time, the library was awarded the top rating of five stars, and ranked fourth among large libraries in the Library Journal Index of Public Library Service in 2013. The ratings are based on the four categories, including library visits, circulation, program attendance and public Internet computer use. Libraries were grouped by annual expenditures and then rated according to these four statistical categories. Among public libraries in this category, SCCLD was one of only five institutions in the nation to earn a five star rating. The next Joint Powers Authority meeting will be Thursday, January 30, 1:30 pm at Services and Support Center in Campbell. The 2014 Friends, Commissioners, Foundation, and Endowment Board Members Forum will be held on Saturday, February 1, 9 am — Noon. This annual event brings together volunteer library leaders from across SCCLD. Two keynote speakers will be discussing both the history and the future of the Santa Clara County Library which is especially significant as the library celebrate 100 years of service in 2014. The Silicon Valley Reads Kick -off event is scheduled on January 22 and there will be 100+ free events January through March. She also reported that the Wi -Fi networks at all county libraries have been upgraded. C. Friends of the Library Report No written communications. REPORTS A. Cupertino Poet Laureate. Commissioner Kolb reported on Poet Laureate. Cupertino Poet Laureate in partnership with Cupertino Library Foundation is sponsoring the Silicon Valley Reads poetry contest for the first time. There was picture and the short write -up on San Jose Mercury news for Cupertino Poet Laureate Jennifer Brown. Commissioner Stevenson suggested inviting Jennifer Brown to Lunar New Year luncheon hosted by the Chamber of Commerce. B. Commission Report 1. 2013 Work Plan Elements Commissioner Ho introduced Librarian Kath to the City Council in November. She reported to meet with Erin Cooke regarding Sustainability Speakers Series. Commissioner Liu shared his thoughts about how to utilize cupertinolibrary.org website by presenting Cupertino's point of view of the Santa Clara County Library System. Commissioner Grymes reported she will work on 2013 Work Plan and share with the commission during the next meeting. Election of officers will be scheduled on the next meeting. 2. Mayors Meeting Commissioner Kolb to attend Februan/ 12th Mayor's meeting Commissioner Liu to attend March 12 1h Mayor's meeting Commissioner Ho to attend April 9th Mayor's meeting 3. City Council Commissioner will give the presentation to Cupertino City Council on March 18 meeting. C. Staff Report None 8.
