LIB 11-04-2013City of Cupertino Library Commission Regular Meeting November 4, 2013 MEETING MINUTES 1. CALL TO ORDER At 7:02 pm Commissioner Grymes called the meeting to order at Cupertino City Hall, 10300 Torre Avenue, in Conference Room C, Cupertino. 2. ROLL CALL Commissioners: Jerry Liu, Annie Ho, Rose (, rymes, Adrian Kolb, Ann Stevenson, City /County Library Staff: Cynthia Wilson, Nidhi Mathur, Gayathri Kanth Absent: None Guest: Kathy Stakey from Friends of the Library 3. APPROVAL OF MINUTES Commissioner Liu moved to approve the minutes of the regular meeting of October 2, 2013 as revised. Commissioner Ho seconded and the motion passed unanimously. 4. PRESENTATION Kathy Stakey from Friends of the Library reported on Friends of Cupertino Library and shared the Friends contributed $20,000 to the Measure A campaign. Other major contributions include the Bookmobile with a $10,000 annual contribution. Other contributions are $15,000 annually to the Best Seller Collection, $10,000 to the Library's DVD collection and $5,000 to the Silicon Valley Reads program. The Friends also contribute regularly to the Summer Reading Program for the Teens and the Children. This year the Friends purchased backpacks as a reward for the Reading program Teen participants. They also support the Children's, Adult, Chinese, Tween, and Teen Book Clubs. Funds for these contributions are obtained through continuing lobby sales which brings in $2,200 -2,600 a month. Book sales are another form of revenue, as well as internet sales that produces $800 -2000 a month. They also have mini Courtyard Sales which brings in revenue. The Friends will also donate Poinsettia's for display at the Library. Library Commission would like to work with the Friends of the Library as part of their Technology Plan, perhaps working together in regards to the Tech Tool Bar. Kathy suggested bringing it up at one of the Book Club meetings about reading digitally. Kathy discussed the importance of having the Cupertino Courier digitalized instead of the out dated microfiche process. 5. NEW BUSINESS A. The Commission discussed attending a future Council meeting and discussing commission business as well as introducing the new Cupertino librarian. 6. WRITTEN COMMUNICATIONS A. Cupertino Community Librarian Report Report given by new Cupertino Librarian Gayathri Kanth, discussed how Cupertino Library was rated a 5 -Star library in the nation. There were 294 new patrons this month. 71799 people visited the library and the circulation numbers for adult and teen was 83608 and 132671 was for the children. There were 57 programs last month, 3299 people attended those programs, almost doubling since last year's attendance. New upcoming programs include: Family Game Day, November 27, in the Children's Room Reading Buddies with animals Monta Vista Tech Symposium for teen: Teens Study Days, December 8, 15 B. County Librarian Report The Santa Clara County Library District's administrative offices will be moving to 1370 Dell Ave.in Campbell. The Library District will host an open house for Library Commissioners and other stakeholder;; on Friday, December 6 from 3 to 5 pm. The commissioners will be receiving an invitation soon.. Mark Fink and Jane Kronchite will be doing a session on Library Advocacy for library stakeholders. The 2014 Friends, Commissioners, Foundation and Endowment members Forum will be held on Saturday, February 1, 9 am -Noon. The Forum will be held at the new Services and Support Center in Campbell, and we will have two speakers who will discuss both the past and the future of libraries in Santa Clara County: Susan Fuller, County Librarian from 1985 -2002 and Dr. Sandra Hirsh, Director of the School of Library and Information Science at San Jose State University. The Santa Clara County Library Districts Joint Powers Authority (JPA) meeting was held Thursday, October 24 at 1:30 pm. Main points discussed were adoption of a resolution to declare the official results of the Measure A election and adoption of an ordinance levying the tax beginning in fiscal year 2014 -15. The Board also heard a report on the recent Return on Investment study, funded by Cupertino Library Foundation and conducted by BERK, which demonstrated that taxpayers receive as much as a 400% return on investment on library funding. Gilbert Wong has finished his term as JPA Chair and The Board elected Campbell City Council member Jason Baker Chair of the JPA Board for 2014, and Saratoga Vice Mayor Emily Lo was elected Vice Chair. Others None F. Calendar Review The Commission suggested adding Mayor's meeting attendance to the calendar. 7. REPORTS A. Cupertino Poet Laureate. Discussed the upcoming event that will entail a proclamation for the past Poet Laureate as well has have key note speaker as well as the introduction of the new Poet Laureate. B. Commission Report 1. 2013 Work Plan Elements Working with Librarian Annapurna in upcoming events was discussed. Sustainability- Waiting for Erin Cooke on the Environmental speaker series Outreach- Commissioner Liu to possibly research the Cupertinolibrary.org website. 2. Mayors Meeting Commissioner Stevenson attended the November Mayors meeting and submitted a written report highlighting all the commission's report. She shared with the Mayor the Library Commissioners are interested in being involved in the new Story Room renovation. The major highlight of the meeting was the newly launched Next Door program. A representative from TICC reported that they have a contact for KMVT if any other commission is interested in using their services. The Fine Arts Commission has put together a hard copy of photos of city art and plans to create a PDF version as well. 3. City Council Ms. Mathur brought up that it was previously discussed that the Commission would attend a November City Council meeting. Ms Mathur to research if November 19 City Council meeting would be optimal meeting for the commissioner to attend for introducing the new Cupertino librarian to the council. The commissioners are planning to thank City Council for the approval of the construction of the new story room. C. Staff Report 1. Ms. Mathur submitted a written report from Katy Jensen, Project Manager, Public Works Department. Some highlighted points were - capacity of story room was discussed be 75 based on the input provided by the Mark Fink. The proposed budget for the expansion is $2 Million over two fiscal years — 1) $500 thousand in FY2013/14 for design and 2) $1.5 million in FY2014/15 for construction. The design process will involve discussions with the Library operations staff and the Commission and possibly other stakeholders to confirm the goals and scope of the project. 8. OLD BUSINESS A. Possible Commission Half -Day `Retreat' No Discussion 9. AGENDA BUILDING Next Commission meeting will be the first Wednesday in December. January Library Commission meeting to be held on the second Wednesday on January 8, 2014. Commissioner Ho to attend Tuesday, December 3 Mayor's meeting.
