LIB 04-04-2012City of Cupertino Library Commission Regular Meeting April 4, 2012 10 CALL To ORDER At 7 p.m. Commissioner Kolb called the meeting to order at Cupertino City Hall, 10300 Torre Avenue, in EOC, Cupertino. 2. ROLL CALL Commissioners: Adrian Kolb, Susanna Tsai, Rose Grymes, Ann Stevenson, Janet Riddell City/County Library Staff: Mark Fink, Melinda Cervantes, I idhi Mathur Absent: None 3. APPROVAL OF MINUTES Commissioner Grymes moved to approve the minutes of the regular meeting of March h '7, 2012. Commissioner Riddell seconded and the motion passed unanimously. ORAL COMMUNICATIONS None PRESENTATION Poet Laureate Update Dave Denny reported on this year's Cupertino Poet Laureate events. He reported on successful and well attended Winter Light poetry reading events. He gave a successful presentation at Cupertino Rotary Club meeting. Dave Denny is also meeting with other local poet laureates; He also did a taping on the local Community Access TV. He also participated in poetry on the Move Project. He proposed future projects such as poet writing contests, writing workshops and poetry appreciation lectures at various city locations. 6. OLD BUSINESS A. Green Initiative nviroment Eco tags with QR codes will he posted in different sections at the library; scanning QR codes will tale the user to the details information about that environmental topic on cupertinolibraryiorg website. The website page will have additional resources. Green at Hoare Tool Kits Energy saving devices, information and other tools are the parts of fits which will be available to all library card holders. The library also plan to have tags that stick out of library materials and points to many green resources at the library. The commission decided to explore the ides of open house at Kirsch Center instead of the tours. The staff will follow up with the Kirsch Center contact. B. Budget Requests Responses, Staff has p ro osed a status quo budget for the Library Commission with the exception of requesting $5,000 for the Poet Laureate Program. The City Manager has not yet reviewed or approved this increase in Poet Laureate funds. In addition, the library excess hour budget has been proposed at the current FY 11 12 levels Vestibule or breezeway main entrance to keep the wind levels down on the first floor of library - The staff understands the commission request but city does not anticipate being able to propose funding for this structural change next year. They will not lose track of the idea. Security cameras in front lobby facing book sale area to mitigate the book theft — At this point, the city staff doesn't believe that new cameras is the right solution for this problem. It seems that the cost would far outweigh the potential loss. The city is willing to discuss this issue further. Commissioner Riddell suggested that someone from Friends can provide the commission a detail report on this issue. Solar powered umbrellas in court yard area — Public Words would get costs estimates and consider recommending the umbrellas. They need to look at durability and maintenance issues for this proposal, Design courtyard to be social area for patrons -Igo budget recommendations for courtyard at this tine. C. Community Awareness Library Commission article was published in April Scene article Commission Group Picture - group picture can be scheduled at the upcoming Library Commission meeting Commission Name Tags — provide an options for the clip -able commission name tags Video interview on Better Part — needs to schedule the interview 7. REPORTS A, Cupertino Community Librarian Report Mark Fink reviewed the monthly report. B. County Librarian Report Melinda Cervantes reviewed the County Librarian monthly report. On the behalf of the commission, commissioner Kolb thanked Melinda Cervantes for her work as Executive Director of Santa Clara County Library. C. Commissioner sioner ,.eports Commissioner Kolb reported on the Mayor's meeting in April, She reported there are new dates for the future mayor's meeting. The approved 2011 Wort Plan has been sent to the mayor. Commissioner Tsai reported on the Hinshu student exchange program. Commissioner Grymes reported on Environmental Speaker Series. She shared the mailing list for the California Library Association for distribution among commissioners. She also reported that they are moving with the Technology Toolbar at the Cupertino library. E. Staff Reports Library Parking — Additional parking on .odrigues - Before there were 1 spaces, now we have 19 spaces, there are a total of 9 additional purling spaces, out of nine, one is reserved for electric vehicle parl ing only. F. Library Foundation — Eno Schmidt emailed status report to Commission 8, NEW BUSINESS A. Scheduling Council Presentation Reports Commissioner Kolb will give the council presentation on May 1 or May 1 B. Discuss Mayor Meetings Future Mayors' Meeting Dates Monday, June 18 at 4:30, Conference Room August 6 at 4:30 at 4:30, Conference Room A. October 1, at 4:30, Conference Room A CALENDAR Commissioner Tsai reviewed the calendar. Poet Laureate meetings creed to he added to the calendar, Finance Committee meeting is on May 29 and JPA Board meeting is scheduled on June 7.
