Regular Meeting
March 6, 2013
1.CALL TO ORDER
At 7 p.m. Commissioner Grymes called the meeting to order at Conference Room B,
Cupertino City Hall, 10300 Torre Avenue, Cupertino.
2.ROLL CALL
Commissioners: Jerry Liu, Ann Stevenson, Rose Grymes, Annie Ho
City/County Library Staff: Mark Fink, Carol Frost, Nidhi Mathur
Absent: Adrian Kolb
3. APPROVAL OF MINUTES
Commissioner Stevenson moved to approve the minutes of the regular meeting of
February 5, 2013. Commissioner Liu seconded and the motion passed unanimously.
4. ORAL COMMUNICATIONS
Sustainability Speakers Series
—Erin Cooke, City of Cupertino Sustainability
Manager reported on Sustainability Speakers Series, a program that has a series of
conversations similar to a Commonwealth presentation and modeled after Silicon
Valley Reads. She asked for the support of the commissioners and requested for ideas
and themes for the series. Librarian Fink shared a draft syllabus of the program which
list themes, learning outcomes, leadership practices, resident experts and proposed
speakers for the series. It will be an hour program designed for various age groups.
Commissioner Ho and Liu expressed support for this project.
5. OLD BUSINESS
A. Teen Advisory Board proposal – Mark Fink reported the gardening has begun
and is on schedule based on the reports presented by teens during the last
council meeting.
B. Mayor’s meeting

The mayor’s meetings are scheduled at 8 am on the 1 Tuesdays of the month.
April meeting is scheduled on Tuesday, April 2 and Commissioner Liu will
attend that meeting. The following Mayor’s meeting is on May 7 and will be
tentatively attended by Commissioner Grymes.
C. Commission City Council presentation

Commissioner Annie Ho will present at the May 7 City Council meeting.
Librarian Mark Fink will also present at May Council meeting.
D. 2013 Commissioner Work Plan
Commissioners decided to work on the following initiatives:
Effective, Informed Advocacy & Outreach
which involves identification of
audiences including study/discussion of OrangeBoy Report – Commissioner
Liu expressed interest in working on this initiative. Commissioner will work
on reporting and outreaching to city council, city commissions, community
organizations like Rotary, Chamber of Commerce and other ad hoc
organizations.
Poet Laureate Activities
– Recruitment of the next Poet Laureate and
outreach for the program- Commissioner Stevenson and Kolb are working on
this initiative.
Sustainability Speakers Series
– Commissioner Ho was interested in
working on this initiative and help in providing electronic resources to the
business community.
Technology and E-Resources
This initiative involves collaboration with Cupertino Library Foundation on
Tech Toolbar – Commissioner Grymes is working on this.
Collaboration with Cupertino Library Foundation on enabling crowd-sourced
reader/librarian reviews of e-book.
Sustainability Initiatives for the Library and Library Commission
More sustainable operation in our commission meetings by posting meeting
related document in PDF format in Dropbox resulting in ease of paper use.
ROI report
Forbes article—library of 21st century. A significant part of new publishing
doesn’t go through the review process.
E. CALTAC Workshop
Commissioners will let the staff know by coming Monday if they are
interested in attending CALTAC workshop at San Mateo.
6. REPORTS
A. Cupertino Community Librarian Report
Librarian Mark Fink reported on enhancing library WIFI signal and said that
there will be visible improvement in access speed after adding 5 WIFI access
points. He reported on increase in number of visitors from January 2012 from
67,000 to 76,000. The attendance in library program went up to 2,690 from
2,620 from last year. Some of the upcoming library programs are Silicon
Valley Reads Essay contest, Support Our Troops, Care Package Collection.
B. County Librarian Report
County Librarian Carol Frost reported that JPA met on February 28, 2013 and
approved the recommendation of the Election Subcommittee to start a public
education program in anticipation of the renewal of the special library tax that
will expire in June 30, 2015. The total revenue from this tax is over 17% of
the Library budget and exclusively funds staffing for open hours and
materials. JPA will establish the new Community Facilities District. The JPA
also accepted the Five-Year Financial Forecast for Fiscal Years 2012-2013 to
2016-2017.
C. Poet Laureate Report
Commissioner Stevenson reported on Poet Laureate selection committee and
said committee is on target to launch the next Poet Laureate selection outreach

by April 1.
D. Commissioner Reports
Commissioner Grymes reported on Technology Tool Bar and said that
volunteer training has been completed and the soft launch date of the Tech
Toolbar is scheduled for March 20, 2013.
E. Staff Deports
Staff shared the draft Poet Laureate brochures and flyers and reported that
Carol Atwood is currently working as interim Directors of barks
Recreation.
F. Friends of Library
The next Friends Used Boob Sale is scheduled on May 4th and t ".
G. Library Foundation
Eno Schmidt emailed status report to Commission
7. CALENDAR
Commissioner Liu shared Google calendar with the commissioners.
8. AGENDA BUILDING

Move Reports and Written Communication earlier in the agenda and discuss the idea
of making the reports bimonthly. Keep 2013 Work plan, poet Laureate in old
business. Add possible commission half clay retreat under new business.
