LIB 09-05-2012 City of Cupertino Library Commission Regular Meeting September 5, 2012 1.CALL TO ORDER At 7:02 p.m. Commissioner Kolb called the meeting to order at Cupertino City Hall, 10300 Torre Avenue, in EOC, Cupertino. 2.ROLL CALL Commissioners: Adrian Kolb, Rose Grymes, Ann Stevenson, City/County Library Staff: Mark Fink, Nancy Howe, Nidhi Mathur Absent: Janet Riddell, Susanna Tsai 3. APPROVAL OF MINUTES Commissioner Grymes moved to approve the minutes of the regular meeting of August 1, 2012. Commissioner Stevenson seconded and the motion passed unanimously. 4. ORAL COMMUNICATIONS - None 5. WRITTEN COMMUNICATIONS – None 6. OLD BUSINESS A. Mayor’s Meeting Contact Commissioner Riddell to find her availability to attend, October 1 Mayor’s Meeting. If she is not available Commissioner Grymes will attend the meeting. B. California Library Association Conference Signup Commissioners will signup online and submit the recipients for reimbursement 7. NEW BUSINESS A.Library Report on e-Content Commissioner Grymes thanked Cupertino Librarian Mark Fink for sharing the comprehensive library e-content report and asked which information will be relevant for commissioners and the community, one example would be Top Ten database used. Commissioner Grymes wanted to know the usage statistics for technology growth areas in the library like technology tool bar, and how to interpret the report, view the range of e-resources which are getting used by the community. Mark Fink stated he will be sending invitation to commissioners for the database (Morning Start and Value Line) classes. There will be children database training session coming up October as well as in October Library Commission meeting. Megan Wong, Santa Clara County Virtual Library Manager, addressed the commission. She stated how the e-report is compiled and what the data in the report represent. The report is mostly for internal use and is currently used by the database manager group to keep any eye on usage trends and it provides the info to evaluate the databases usage at the end of the fiscal year. Difference between retrieval and search is that retrieval is when the article is viewed and downloaded verses search is just a query submitted through the search form to the database and do not require downloading and viewing any document. She stated that they are working on brining a visual high level usage report with pie charts to groups like Library Commission. For the community outreach they are working on report which talks about the top ten databases, as well as they are designing the database tri-fold flyer. Megan said commissioners can reach her via email if they have any additional feedback or questions. County Librarian, Nancy Howe shared about various types of eBooks that exist in the library. There are eBooks for references, e-journals and eBooks that are checked out. The library tracks their usage as well as catalog resources usage. Library also keeps track of how many people text library with questions. She said typically there are 1-2 questions about e-books. There will be a campaign about e-Book awareness. Library has signed up with Access 360 for eBooks, and with Zinio for journals and magazines. B. Online Feedback Tool – Survey Monkey Commissioner Grymes commented that Survey Monkey tool can be used for Environmental Speaker Series. All the stakeholders need to meet again to talk about the survey content as well as about the survey outreach. Mark Fink commented community organization websites can make the survey link available. 8. REPORTS A. Cupertino Librarian Report Cupertino Librarian Mark Fink reviewed the monthly report. Cupertino Library is seeing steady increase in circulation and library visits. From July 2011 to July 2012 there is increase of over 2% in number of visitors and increase of about 7% in the numbers of items that were checked out. Library did cuts back on number of programs offered during summer as there was less number of story times offered during this time. There are 43 programs listed for July and 2,600 people attend these programs. Number of volunteer hours at library went up during summer as many high school students do volunteer work at library during this time. There were many interesting programs offered during July, some example are Franken Toys and Bookmobile visit at the Farmers market. Library along with Library Foundation are launching Fall Arts and Culture series which has 8-10 events and there events will run from October to December. Couple of marquee events is health lecture on Autism by PlaneTree in Mandarin and Santa Clara Valley History Collaborative discussion on coming Sunday. Library will start offering Green at Home Toolkits from September 10 and commissioner’s toolkit use video will be posted on the Santa Clara Library YouTube channel. During the next commission meeting couple of children librarian will present children databases. B. Cupertino Poet Laureate Nothing new to report C. County Librarian Report Nancy Howe reported that county is piloting a new self paced tool called JobScout which is designed for the job hunters who need help with the internet skills and job hunting techniques; this tool is accessible through the library website. September is the library card sign-up month. Library is participating with other libraries across the country to encourage the individual to get a library card. They are also renewing student cards, over 8,000 free cards were issued throughout the year to non-resident youth, preschool through grade 12. The new county library website has the new logo.. The new library card will be offered in tree colors and will have the new logo. D. Commissioner Reports Commissioner Kolb stated she will be out of the country in September. Commissioner Stevenson reported on her visit to Poetry Workshop offered by Dave Denny, Cupertino Poet Laureate. She also talked about Erin’s presentation of Green at Home Toolkit and Green Biz for small business group at Chambers. Commissioner Grymes reported on Environmental Speaker Series meeting and said the group continues to meet. E. Staff Reports Library Commissioners picture was given to librarian Mark Fink for hanging at the Cupertino Library. F. Friends of Cupertino Library —The next book sale is scheduled in October 1 14, G. Library Foundation — Eno Schmidt em ailed status report to Commission. 9.
