LIB 05-20-97 CUPERTINO LIBRARY COMMISSION MINUTES May 20, 1997 CALL TO ORDER The meeting was c~lled to order by Chairperson Jillian Hsmer at 7:30 pm. ROLL CALL Present: Jean Bedord Jilllan Hamer Mary Minow Yufen Diana Wu (arrived 7:35 p.m.) Absent: Charles Pow (with prior notice) Also present: Mary-Ann Wa,ace, City Librarian Mary Seivert, Fine Arts Commission Sheila Moh~n, Fine Arts Commission MINUTES Minutes of the April 22, 1997 meeting were approved as written. ORAL COMMUNICATION None. WRITTEN COMMUNICATION Budget update to March, 1997 was received. Caltactics / ALTA received. NEW BUSINESS Fine Arts Grant Administration: Cbalrperson Jilllan Hamer welcomed Commissioners Sheila Mohan and Mary Sievert of the Fine Arts Conomission. In the absence of Commlssioner Pow, liaison for the grant, commissioners discussed the grant briefly with Commissioners Mohan and Sievert, and approved setting up a committee made up of one Library Commissioner, most appropriately Commissioner Pow, one member of the Fine Arts Commission, and one library staffmember to judge web graphics entries for the Library Commission Web Page. At least three prizes will be awarded for graphics under the terms of the $2,000.00 grant. Commissioners also discussed a timeline, and the ways in which entries may be displayed in a virtual gallery. The Fine Arts Commission and the library will identify their representatives and will notify the Library Commission. Librarian Wallace gave an update on the other grant awarded to the library from the Fine Arts Commission, the $1,000.00 grant to add to the Cupertino Library's Southeast Asian and CAlifornia art book collection. The library is pleased to have been awarded the grant, and is loo~ng forward to enhancing its art book collection in those areas. She told the group that librarians Kate Moyle and Susan Yip had met recently with John Stucky of the San Francisco Asian Art Muse~,m in preparation for choosing Southeast Asian art books appropriate for a public library. Mr. Stucky was extremely helpful, and gave them many good suggestions. St~ff are currently wor~ng up a final list, and the books will then be ordered. All of the titles will have bookplates indicating that they were purchased through the Fine Arts Commission grant. Art and Wine Festival: The Library Commission, Library Foundation, and Friends of the Cupertino Library will share a booth at the Art and Wine Festival. Commissioners discussed whether it might be possible to display web graphics entries there, if entries have been received by then. Volunteer Coordination: When Commissioners H~mer and Pow went on the tour of the San Francisco Library with the Friends group in April, they had a chance to t~lk with the head of the San Francisco Library Volunteer Bureau. They want to discuss some ideas with the commission, and in the absence of Commissioner Pow, Chairperson Hamer reagendized the topic to July. Internet access: Commissioners voted their unm~imous support of the January 24, 1996 A!,A Library Bill of Rights on Access to Electronic InfoLmation, Services, and Networks. Commissioner Minow reported on the Lawyers for Libraries conference that she and County Librarian Susan Fuller and Chief Assistant County Counsel Ann Ravel attended in Chicago, and on the American Library Association's (A!JA) Library Bill of Rights, which has now been smended to include electronic access. She and Librarian Wallace also reported on the internet access discussion at the recent Gilroy Library Commission meeting, which they both attended, along with County Librarian Susan Fuller and Chief Assistant County Counsel Ann Ravel. Commissioners voted to send a letter in support of the Gilroy Library Commission to Gilroy chairperson Libby Lai. Review and Goal-Setting: Commission Projects and Accomplishments: 1) Consultant to do needs assessment, 2) High School outreach, 3) Volunteers, 4) Grants administration, 5) Coordination oftheparticipation of the Library Commission, the Library Foundation, and the Friends in the Chamber Art & Wine Festival. This will be agendized for the next meeting. Send any input to the chair at least one week and a half before the next meeting, as the chslr will be away on business the week before the meeting. OLD BUSINESS Planning for Library Facility Needs Assessment Process: a) Library Visits: Group visits may not start in June, as commissioners Bedord and Hsmer will be attending the SLA (Special Libraries Association) conference in Seattle, and other commissioners may also be away in June. Commissioners are encouraged to visit libraries individuglly as they are able to do so, and some group visits will be set up at a later time. b) City Council Budget Review Preparation: City staff have indicated that the city is prepared to fund the $50,000.00 library consultant fee, and do not see a need for the commission to make a foL-mal presentation at the budget meeting. Library Foundation: The list of winners in the recent opportunity drawing has been reported in the Cupertino Courier and is on display in the library. That wraps up a successful fundraiser that made $4,000.00 to benefit the library. The Foundation Board is presently worlring on a planned giving brochure, and has just been notified that it has been awarded $3,500.00 from Tandem Computers, which it will use to purchase a computer and printer for its use. The foundation's next board meeting is tomorrow evening at 7:30 pm.. Friends of the Library: The successful sale last weekend raised $6,200.00 thanks to the hard work of a n,_~mber of the Friends. The Friends recently approved funding of the microt~lming of the library's copies of the Cupertino Courier, a project that is currently on-going. They are now looking towards the start of the S~mmer Reading Club, one of their favorite funding projects, and have funded a total of 14 s?,mmer progr~m~ with 7 performers giving double SRC perfor~ances on the s~me day in order to allow as many children as possible to enjoy the s~mmer programs at the library, while encouraging them to keep reading over the s~,mmer months. Mayor's Breakfast: Chairperson Hsmer missed the last Mayor's breakfast because of a business trip. Commissioner Minow will attend the Mayor's Breakfast in June, and Commissioner Wu will attend in July. Calendar update: J~me 8-12 SLA (Special Libraries Association) Conference, Seattle, WA. Commissioners Minow and Wu will not be able to attend the July commission meeting. Chairperson Hamer may not be able to attend the August commission meeting. Commission Home Page: No further report other than the discussion of the web page graphics grant awarded by the Cupertino Fine Arts Commlsion to the Library Commission. CITY LrRRARIA~S REPORT Attached. COUNTY LIBRARIAN'S REPORT Librarian Wallace reported that County Librarian Susan Fuller was unable to attend because of a conflicting community meeting in Morgan Hill to decide on the site for the new or expanded Morgan I-Ill] Library. She asked Librarian Wallace to extend her apologies, and to report on the Gilroy Library Commission meeting that she and Librarian WAllace and Commissioner Minow had attended. COMMISSIONERS' COMMEN'TS and AGENDA BUll,DING: A question was raised as to whether a conference call may be acceptable and counted as attendance at a commission meeting. Chairperson Hsmer will contact the City Manager and the City Attorney on the matter. Commissioner Minow reported that she has been appointed to the CALTAC (California Association for Library Trustees and Commissioners) Board. After graduation from law school, she will work for the Csllfornia State Library to continue work on library bill SB409, The Library of California. She will attend the June American Libraries Association (~4 LA) conference in San Francisco. A long,line Friends Booksale attendee, Commissioner Wu reported that she had worked at the recent Friends sale for the first ~me, and had really enjoyed the experience. She will also attend.~ LA in June. Commissioner Bedord is currently completing work on the Commissioner's Handbook. Chairperson Hamer has been asked to speok on electronic access at a s~]mmer conference of the American Association of Health Care Attorneys. The class is designed to help parents with a basic introduction to searching techniques, using both URL's and search engines, and to demonstrate some good Web sites for children. The first Saturday morning Parent Internet class in April had 5 participants, the second class in April had 13 participants; the first Saturday morning sesssion in May had 5 in attendance, and the second class had 13 participants. The library will continue to offer one class per month during the summer: June 21, July 12, and August 16. Additional classes will be offered in the fall to meet community interest. The library's self-help tax form area will remain on the landing between the lobby and the children's room through August with giveaway forms and binders ofreproducibles. Reproducible forms in binders are also available at the copy machine in the lobby. Anyone who cannot physically access the landing for the giveaway fo,-ms may ask at the main floor reference desk, and stat~will retrieve the fo~m~ for them. Copiers are located on all three floors. The current book display on the main floor is for Memorial Day. The Cupertino IJbrary Foundation's opportunity drawing fundraiser held May 1, 1997 for a special Pavarotti evening was a success, raising $4010.00 for the library. Thanks to sponsors: Juice Club of Cupertino, E1 P~eo TJmousine~ and Fontana's It~lIAr~ restaurant for underwriting the grand prize package, to Kwik Kopy Printing for printing the tickets, to Sign City for a great sign and stand, ~nd to local merchants: Outback Steakhouse, Hol~ccs, Safeway, Starbucks, and Noah's Bagels for prizes. All of the proceeds go directly to the Cupertino Library Foundation for the benefit of the Cupert~o Library. The list of winners is posted in lobby. The Friends of the Cupertino Library held a successful Book Sale over the weekend of May 17 and 18, 1997, netting over $6200.00. Adult Librarian Judy Dana visited Chateau Cupertino to do booktalks and talk about library services on Monday, May 19th. Commissioners received copies of the flyer for the 1997 S~mmer Reading Club Progrsms, paid for by the Friends of the Cupertino Library, and the Summer Family Internet classes flyer, which are available in the library.
